GPS check-in for teachers: end the muster register for good

How geofenced staff attendance, face-photo verification, and a 60-second mobile flow eliminate buddy-punching while making leave applications a breeze.

Pre-pandemic, your school had a leather-bound muster register at reception. The senior teacher signed for everyone "running late". Some buddy-punching, some forgetfulness, mostly inertia. The principal could never tell if Mrs. Sharma was actually on the campus when she said she was.

Vidyakrit's staff attendance was designed by talking to fifteen Indian school principals and asking "what would you accept?" Here is what stuck.

THE BASIC FLOW (60 seconds)
The teacher opens the school portal on their phone, taps "Check in". The system:
1. Asks for GPS location
2. Verifies they are inside the geofence (radius you configure per school — usually 50m)
3. Optionally captures a face photo and matches it against the enrolled face (toggle in Settings)
4. Records the timestamp + their device

That is it. No biometric machine to maintain. No card to lose. Works on every Android and iPhone.

WHY GPS + FACE BEATS A BIOMETRIC DEVICE
Biometric machines have one queue at one door. At 7:55 AM you have 40 teachers waiting in line. With phone check-in, all 40 check in simultaneously, from their classrooms, in 60 seconds. The principal sees the dashboard light up in real time.

THE PRINCIPAL'S DASHBOARD
- Live "checked in / not yet" list, refreshing every 30 seconds
- Late arrivals coloured amber, beyond 30 minutes coloured red
- One-click "Mark on leave" if a teacher already filed a leave request
- Daily / weekly / monthly punctuality reports per teacher

LEAVE APPLICATIONS WITHOUT PAPERWORK
The same module handles leave applications. A teacher requests leave from their phone, principal approves with one tap, the attendance grid is auto-marked, and a substitute teacher is suggested from the same class group. Salary deduction (or not) flows into the payroll module without any re-entry.

A FEW THINGS NON-OBVIOUS
- For schools with poor mobile data in remote areas, the check-in form caches the user's check-in attempt and syncs when network returns. The timestamp recorded is the original tap, not the sync time.
- The face match runs entirely on the user's device. The enrolled face stays as an encrypted vector — never leaves the school's database.
- DPDP-aware: face data is treated as sensitive PII with consent capture and a "delete my face" action in profile.

Three months into using this, one of our pilot schools fired the biometric device vendor and saved ₹ 12,000 / month on AMC. The principal told us the bigger win was visibility — knowing at 9:15 AM who is in and who is missing.
