Reports that actually get read: 7 dashboards every principal needs

A walk-through of the seven reports that move the needle for an Indian school — defaulter list, attendance summary, teacher punctuality, exam mean, library use, transport profitability, and admission funnel.

Every school has 50 reports built somewhere and 3 reports actually opened. Here are the seven that we have seen move the needle. Each is a single screen in Vidyakrit, exportable to Excel, dated and signed.

1. DEFAULTER LIST (the one you check on Monday morning)
Students whose fee dues cross a configurable threshold (₹5,000 default), sorted by amount due, with parent phone + last reminder date. One-click "send reminder" to the whole list. Most schools cut fee dues 30-40% in the first 60 days just by running this every Monday.

2. ATTENDANCE SUMMARY (the one for the PTM)
Per-student attendance percentage for the term, with class-average baseline. Students below 75% flagged for the warning letter. Students with 7+ consecutive absences flagged for parent call. Class-teacher gets their list. Principal gets the overall.

3. TEACHER PUNCTUALITY (the one for salary increment)
Average check-in time per teacher over 30 / 90 / 365 days. Leave count per teacher. Late count. Substitute duty count (teachers who covered for absent colleagues). At year-end this feeds directly into increment decisions.

4. EXAM PERFORMANCE BY SUBJECT (the one for curriculum review)
Mean / median / pass percentage per subject per class. Heatmap showing weak subject × class combinations. If V-B Mathematics consistently has 30% mean while V-A has 75%, you know the teacher needs help or the section assignment needs review.

5. LIBRARY UTILISATION (the budget defence)
Books issued per class. Books issued per subject category. Popular titles. Untouched titles. Each year's library budget defence becomes a 2-page report instead of a wall fight.

6. TRANSPORT P&L PER ROUTE (the one for board meetings)
Revenue minus cost (fuel + driver + maintenance + insurance amortised) per route. Routes losing money for two consecutive years should be retired or merged. The board appreciates the maths.

7. ADMISSION FUNNEL (the one for next session planning)
Enquiries → registrations → admissions, per source (walk-in / referral / website / advertisement). Source-wise conversion rate. Class-wise conversion rate. Tells you whether to spend next year's marketing budget on Google Ads or on referral programs.

ALL EXPORTABLE
Every report has a "Download as Excel" button at the top right. Filter dropdowns are sticky. Date ranges remembered between visits. The PDF version has the school header and the principal's signature line at the bottom.

The pattern we have seen: schools using these seven reports for a full year make different decisions about teachers, classes, routes, and library purchases — and those decisions show up in better outcomes the next year.
